Importing Graduates

After customizing your graduate data fields (GDFs) and configuring all relevant sections on the site, you are ready to import your graduate information. Follow these instructions to ensure a smooth and accurate upload process.

IMPORTANT: Before you import, review the registration form & email templates.
We recommend testing the registration form and email templates you’ve created using the “test graduate” before you load your graduates into the site. This will allow you to preview the graduate experience and make any edits before your graduating class has access to the site.

Review your Tags and Predefined values in your GDFs.




Download your Data Template

  1. Navigate to the Graduates module.
  2. Click the Add tab at the top of the page.
  3. Under the Graduate Data column, click the Download Template button.
    1. If you have multiple ceremonies, choose the appropriate template for each ceremony.
  4. Save the downloaded template to your computer and open it using Excel.

Prepare Your Data 

  1. Ensure that all required fields (First Name, Last Name, Full Name, and Email Address) are filled in. These fields are highlighted in red on the template.
  2. If your data does not contain a full name field, you can paste the following excel formula into cell E2 to populate full name: =CLEAN(TRIM(CONCATENATE(B2," ",C2," ",D2)))
  3. Do not alter the headers of your data template. The headers must exactly match the graduate data fields on the site to avoid import errors.

Compile and Review Data

  1. Enter all your graduate data into the template.
  2. Double-check for accuracy and completeness before proceeding.
  3. TIP: If a grad has only one name, put their single name in "FirstName" and in "FullName".  Then put a period (.) in the last name field and it will be cleaned up in processing.

Upload the Data Template

  1. Return to the Add tab in the Graduates module.
  2. lick the Upload Template in the Import Graduates card.
  3. Select your data file from your computer and click Upload.
  4. A snapshot of the total students, number of ceremonies, duplicate students, and missing/invalid emails will show at the top.
  5. Choose the ceremony to which you want to load the graduate data.

Import Graduates

  1. If data is missing from your template or if additional column exists that shouldn’t be there, you will be given a warning. 
    1. In these warnings, you are able to see what fields are of concern and given the option to cancel the import so you can correct your template, or ignore it by clicking Close.
    2. If you click “cancel” you’ll be brought back to to the Graduates module with a confirmation of cancelled import in the upper right corner so you can make adjustment to your data template.
    3. After adjustments have been made, you’ll simply follow the same steps to upload again. 
  2. If no errors occur you will click Import Graduates to begin the import process.
  3. Once the import starts, you’ll be given an import status bar at the bottom of the page so you can easily follow along with each step of the import process.

Review and Resolve Errors 

  1. Once complete, you’ll receive an import details list that will contain snapshot details of the successfully and failed imports as well as any grads that had incorrect data and need corrections in the new Data Cleaning tool.
  2. If you are notified that there are corrections to be made, you can easily click the “go to data correction tool” button provided at the bottom of the page.
  3. You’ll also notice that the Data Cleaning Module in the left tool bar is now highlighted with a warning icon. This indicates that you have data issues you need to review. This warning icon will remain there until you update or delete the graduates that have been flagged.

Update Existing Data 

  1. If you need to update additional information such as seat numbers or honors, you can perform a mass update of your already-loaded graduate data before the final data deadline. This can be done under the Update Existing Graduates column. Review How to Update Graduate Data for additional training information.
