Check-In with Director

Setup the Check-In Laptop

On your dedicated check-in laptop, install the most up-to-date version of the Director app, then download and unzip the ceremony database sent to you by Tassel. To review these two-part instructions, visit our article on How to Download the Director Software.

Director does not require an internet connection and runs locally on a laptop using a copy of your database. When check-in is complete, you can export the data from graduate check-in laptop and sync the database to the ceremony display laptop. This way, you can run slideshows for graduates that did or did not check in.

Check-In Placement

For ceremonies using printed cards, set up the Check-In area beyond the card distribution area. 

For stage pass ceremonies, Check-In can be placed near the student entrance. This arrangement allows graduates to funnel into the line-up area quickly after being helped and scanned for Check-In. The Graduate Help Desk should be placed before the Check-In area to ensure that graduates without a card/pass can get a blank or backup card/label.
 

Using the Director Check-In Feature

Set Up the Laptop and Scanner
The Check-In laptop should be placed on a table near where the QR codes will be scanned. Make sure the computer has access to power to avoid the laptop from going to sleep or the battery dying.

Run the Director software from the desktop.
  1. Connect the QR code scanner directly to the laptop via the USB ports on the computer. A USB extension cord can be used if necessary.
  2. Open the Director database.
  3. From the Home Screen, click Check-In. If multiple ceremonies exist, you will be prompted to select a ceremony.

Begin Scanning
As cards are scanned: 
  1. The tally at the top of the screen will increase, and the software will display information related to the student scanned most recently. 
  2. Students will move from the Not Checked In column to the Checked In column.
  3. The bottom of the screen will show a running tally for the specified Check-In grouping selected in the drop-down menu.
NOTE: Contact your Customer Success Manager to define your check-in groupings and fields prior to your data due date.



Check-In Log

After students are scanned, a file called “Check-In Log” will be automatically created in the “Logs” folder, found in the same directory as the Director database. It will have the QR code number, name, and check-in time, along with any other data attached to each record.

Logs can be easily emailed to Tassel, StageClip, or an email of your choosing by opening the Logs option from the top menu bar on your home screen.

Logs contain all information displayed for a graduate and the predetermined values for graduate check-in.
