Using the ImportingCeremony Column

The ImportingCeremony Column is an invisible column, typically used by SFTP to import grads into the correct ceremony, but can be used when using the upload feature on the site.

Times for using the ImportingCeremony Column

• Adding a graduate to multiple ceremonies with one import (they must have more than one line in the spreadsheet

• Adding grads from one spreadsheet into multiple ceremonies with one import,

STEPS

1. Add a column to the end of your import file titled exactly:  ImportingCeremony

1. NOTE: This is NOT a new data field! "ImportingCeremony" is added directly to the graduate data spreadsheet in the last column.

2. Make sure grads that need to be in multiple ceremonies are duplicated in your data: one line for each ceremony they are in with a different ceremony ID listed in the “ImportingCeremony” column

3. Input the correct Ceremony ID's for all grads AND duplicate grads to be imported to. 

Ceremony ID is found in the CEREMONIES module.

4. To import, go to the Graduates module, and select the Add tab

1. Click the Upload Template button under “Import Graduates”.

2. Select the Import button.

3. From the Ceremonies drop down, select “Use ImportingCeremony column”: you MUST choose that option for it to work.
