Your Hub has been set up based on your survey responses and discussions with your Customer Success Manager. Follow the instructions below to customize your graduate registration website. Contact your Customer Success Manager if you have any questions.
Before managing your Hub as an administrator, it is important to understand the graduate experience.
Registration Invitation
- Graduates will either log in via your school’s student portal (using a single sign-up setup) or receive an email invitation from you via the Communication module.
- The email will include a link specific to each graduate, leading them to the login page where they can create a password.
- After logging in, graduates will click the Register Here button to access the registration form.
- Registration forms may include sections for RSVP, ceremony date/time, and preferred name update.
Photo and Message Submission
If your registration form includes options for photos or messages for a virtual ceremony or pre-ceremony slideshow, graduates will upload these as part of the registration process. The requirements for these sections are listed to guide graduates in submitting appropriate and professional content.
Similar to the "preferred name" question, as an admin, you must review and approve the photos and messages provided by graduates to ensure they meet the required standards suitable for the ceremony.
Share with Friends and Family Question
Graduates can share graduation details with friends and family directly from their registration form by providing an email address for each person they want to share the details with. Upon submitting the registration form, the guests will receive an email that you as an admin have customized in the Communication module. The friends and family question is automatically included on your registration form. If you prefer not to include this section, it must be removed before uploading graduates.
Name and Pronunciation
- Graduates will see their "Official Name on File" and can provide a preferred name (if your form allows it). As an admin, you must review and approve these changes.
- The site will provide computer-generated written phonetics for each graduate, which they can accept or update as needed.
- Graduates will also have the opportunity to hear and review their name announcement recording in their registration form. At the bottom of the form in the section called “Confirm Your Name”, graduates will select the Confirm Name button which generates the recording for them to hear. They will then have the following options:
- "Confirm" to approve the recording
- "Try again" for a new pronunciation recording
- Cannot hear recording or Reject, to indicate issues
- If a graduate cannot hear their recording or they reject it, they are given the opportunity to record themselves saying their name and this information will be sent to the voice artist for a new recording.
Guest Tickets
If you are using Tassel for guest ticketing, during registration, graduates will be able select the number of guest tickets they need from a dropdown menu based on your allotted ticket amount. This helps manage venue capacity and allows you to distribute any additional tickets if not all are claimed within the first allotment period.
Tickets and Stage Passes
If using e-tickets or stage passes, graduates can download these from the "Registration Complete" page. They can email or print their tickets, or manage them on the graduate homepage. Stage passes will be accessible in the same location whenever they are made available.
Graduates must fill out all required fields (marked with an asterisk) to submit the registration form. After submission, they will be directed to a confirmation page where you can include important information and action items.
Post Submission
After registering, graduates will receive a customizable confirmation email that may include additional details about their ceremony.
During the registration period, graduates can log back in to make changes to their form. After the registration period closes, no further edits can be made. Ensure that all instructions and options are communicated to graduates to ensure a smooth and efficient registration process.
