Chatbot Instructions

Chatbot is an AI messenger that will assist you and your team with responding to graduate’s and their families questions regarding your commencement ceremony.  You will have the ability to customize your bot’s branding and greeting, add knowledge sources, then review chats and analytics directly from your Hub.

Please contact your Customer Support Manager to enable this feature. Available to Plus and Expert Packages, with Expert Package customers having the additional texting feature at this time. 




Settings

Customize your chatbot here.  You'll be able to:
  1. Add the School Name.
  2. Update he support email so users know where to reach your team for help.
  3. Customize your chabot icon with a square picture.
  4. Give your bot a name.
  5. Add  Proactive Bubble Message to customize the bot’s first greeting.
  6. Adjust the primary color to match your school’s branding across the chat widget.
  7. Fine-tune the HEX color value if you need an exact brand match.
  8. Click Copy to Clipboard to grab the embed script for adding the chatbot to your website.
NOTE: After you make changes on the Settings always click "Publish Changes" at the bottom of the Settings tab.

Texting

Expert customers get access to the texting feature, where gradautes can text  your chatbot.  The phone number for your chatbot can be found at the bottom of your settings page.

Training & Data

This tab is where you can load in all the resource for the chatbot to learn from

Documents to include:
  1. Commencement website links to crawl for information for initial training.
  2. Commencement ceremony dates, times and venues for all colleges .
  3. Deadlines - registration, guest tickets, uploading photos, etc.
  4. Eligibility to register for graduation.
  5. Support email addresses and phone numbers for all colleges.
  6. Frequently asked questions that admin staff receive and answers to these questions
NOTE: if any content on any of the websites you link in this tab are updated, you will need to delete and then re-add the URL in order for the chatbot to re-crawl the page for updated infromation.

Conversations

See all converstations had with the chatbot here.  You can review them to see if there are any additional questions being asked not currently listed on your FAQ's so that you can ensure they are updated accordingly.

Analytics

This page lets you review standard metrics about your chatbot such as total sessions, total messages, and how frequently users are interacting with the bot via the charts provided.


Installation instructions

  1. Copy the chatbot JavaScript integration code from the bottom of the Settings tab
  2. Embed the code within the website's HTML, preferably in the <head> or before the closing </body> tag.
  3. Verify the script's placement on all Commencement or Graduation page subdomains where the chatbot should appear.

Maintenance 

  1. If significant changes are made to the commencement website, FAQ documentation or important dates/deadlines, please upload that information into the Training & Data tab so that the chatbot can be updated and retrained.
  2. Review your Converstations - If a question is asked of the chatbot that it can not answer, it informs the person to contact the school’s provided support email address or phone number to have someone on the event staff address their unique question directly.
  3.  After you make changes on the Settings and the Training & Data tabs, always click "Publish Changes" at the bottom of the Settings tab.

Privacy & Security information

  1. No Personally Identifiable Information (PII) collected .
  2. Rate limiting to prevent spamming/DOS.
  3. Only allow the iframe and widget on specific domains.
  4. Data encrypted in transit and rest state.
  5. Profanity filters added .
  6. Regular security audits conducted 

Accessibility Information 

Keyboard Navigation: We prioritize keyboard accessibility, enabling users to navigate and interact with the chatbot using keyboard commands alone. This ensures that individuals who rely on keyboard navigation can easily engage with the chatbot.
Color Contrast: We adhere to accessibility guidelines for color contrast, ensuring that text and visual elements have sufficient contrast to be easily readable for users with visual impairments.
Alternative Text: We encourage the use of alternative text for images and other visual elements within the chatbot. This allows screen readers to provide descriptions of these elements to visually impaired users.
