Overview
Log files are useful post-ceremony for viewing reports of who crossed the stage, and for delivery to photographers for cross referencing images to graduate data. The Director has the ability to export the Scan Log and the Display Log. Save your data from the Director software to plan for future ceremonies.
Scan Log vs. Display Log
Data from your ceremony can be used for ceremony analytics and planning for future programs. It’s also valuable to share with photography vendors to make sure grads match up with their correct photos. There are a few ways to access this data from Director.
- Scan Log - exports an excel spreadsheet with time stamps of when each grad was scanned into the director. This is a great option for when you are scanning with automatic procession, and will have the same time stamps as the Display log in this case.
- Display Log - exports an excel spreadsheet with time stamps of when each grad's slide was displayed and/or name was announced. This is the better option if you are scanning with a manual procession, building a queue of grads in the director and having someone manually arrow down through the names. This log will have a later time stamp than the scan logs.xporting Procession Logs from Director
Instructions
- After each ceremony logs are automatically generated and placed in a new Logs folder, found in the same place as your Director database.
- If you wish to email the logs to someone, you can do so directly from the software. Just make sure your internet connection is turned back on after the ceremony is complete.
- Go to Logs at the top of the screen from the Director main menu.
Select which log you would like to export - Scan Log or Display Log
You can also email the logs once you've reconnected the ceremony computer to an internet connection:
- Send Logs by Email - this can go to any email address you enter.
- Send Logs to Tassel- this will automatically send the logs to the Customer Success Team.

IMPORTANT
Be sure to save or email the procession logs prior to deleting any ceremony data from the laptop used to run the Director software.
By looking at the timestamps, you can determine which students belong to which ceremony (if there were multiple ceremonies), and how long it took to announce the names. The beginning and end of a ceremony will be labeled with “START” and “END”. You will also see entries for any testing that was done – these can be disregarded. The ceremony data can be easily differentiated both by the timestamp and the number of graduates.
Should you wish to include more detailed information related to the students scanned, work with your Customer Success Manager to determine what data fields you need included on the procession log. Many administrators use this data to create advanced charts and graphs based on attendance and RSVP statistics. If you have any questions about doing this, we are happy to assist you with identifying the best ways to use the data captured through Tassel.
