Adding and Modifying Graduates in Director 2.0

Graduates can be added to modified by the help desk using to facilitate last minute additions or corrections. Follow the steps below to make changes prior to your event.

If your ceremony coordinator wants to allow graduates to edit their information upon arriving at the ceremony, or to be added to the ceremony, please use the instructions below to add or modify graduate information. Common scenarios are outlined below.

Add a Graduate to the Ceremony

If a student does not have a card, have them fill out a blank card (provided by Tassel) at the Graduate Help Desk, then follow the instructions below. If you have a backup set of cards or labels, you can skip this step.

Open the Help Desk
After filling out the blank card, search for the graduate’s name in the Search By field at the top of the Help Desk menu. 

When you search for the grad, if you are unable to find the graduate:
  1. Click Add New Participant.
  2. Type the graduate’s full name in the “Display Name” field and any other information that will be displayed (e.g., degree, major).
  3. Click Save – the software will prompt you for a new QR code; scan the QR code on the Blank Card that you are assigning to the graduate.


When you search for the grad and you do find the student, then you can just replace their card without updating any necessary information:
  1. Select the name.
  2. Click Replace Card.
  3. Scan the graduate’s blank card to update their QR code, or type it in.
  4. Click Save.


Modify a Graduate’s Information

Before the ceremony, graduates may need to update display information. Common reasons include a name change, final honors designation, or incorrect degree information. To update:
  1. From the software home screen, select Help Desk.
  2. Search for the graduate and select their name from the list.
  3. Click Modify Participant.
  4. The window on the right side of the screen will populate with the graduate’s information for you to edit.
  5. Click Save when complete.


Important: Don’t forget to export changes and sync the database with the ceremony display laptop before showtime!

Overview
Graduate information can be added or modified on-site using Help Desk. If you want to allow graduates to edit their information upon arriving to the ceremony, or to be added to the ceremony, please use the instructions below to add or modify graduate information. Common scenarios are underlined below.

Add a Graduate to the Ceremony

If a student does not have a card, have them fill out a blank card (provided by MarchingOrder) at the Graduate Help Desk, then follow the instructions below. If you have a backup set of cards or labels, you can skip this step.

After filling out the blank card, search for the graduate’s name under “A Student Lost Their Card” from the software home screen. If you find the student, select the name and click Replace Card. Scan the graduate’s blank card to update their QR code.

If you are unable to find the graduate, continue to the instructions below.
  1. Click Add A Student from the open dialog box. You can also click Add Student to this Ceremony from the software home screen.
  2. Type the graduate’s "Display Name" and any other information that will be displayed (e.g., degree, honors).
  3. Click Add Student or press the key – the software will prompt you for a QR code; scan the QR code on the Blank Card that you are assigning to the graduate.

Modify a Graduate’s Information

Before the ceremony, graduates may need to update display information. Common reasons include a name change, final honors designation, or incorrect degree information.
To update:
  1. From the software home screen, click Modify Existing Student Data.
  2. A dialog box will prompt you for the student’s QR code; scan the QR code from the student’s card or GradPass, or search by name.
  3. A window will open showing that student’s information. Change what is necessary and click Modify Student or press the key.
Important: You must follow the Export and Merge Database to make sure your ceremony display laptop is updated contains all changes prior to showtime.
